What Is a Time Zone Meeting Planner?

A time zone meeting planner helps distributed teams schedule meetings when participants are spread across different cities and countries. Instead of mentally converting between time zones, you pick a meeting time and instantly see what time it is for everyone — and whether it falls within their working hours.

How to Use

  • Add participants and select their time zone
  • Choose a meeting date and time (in your local time zone)
  • Instantly see the converted time for each participant
  • Use the overlap grid to find hours where everyone is within working hours (9am–6pm)

Color Legend

  • Green: Working hours (9am–6pm local time)
  • Yellow: Early morning or evening (7–9am, 6–9pm)
  • Red: Outside working hours (night/very early morning)

FAQ

Does this account for daylight saving time?

Yes. The tool uses your browser's built-in Intl API with named IANA time zones, which automatically handles daylight saving time transitions for the selected date.

What does "all overlap" mean in the grid?

A slot is highlighted as full overlap when every participant's local time falls within 9am–6pm. This is the ideal window for scheduling a meeting everyone can attend during normal business hours.

What if there is no overlap?

With participants in very distant time zones (e.g. New York and Singapore), a perfect overlap during business hours may not exist. In that case, look for partial overlap in yellow — early morning or late afternoon slots where one party adjusts their schedule.
